How to Add a User Profile in Outlook 2003

Please upgrade to the current version of Outlook, Outlook 2007. There are many problems with using the outdated version. If you insist on using Outlook 2003 then you need at least:

  • Outlook 2003 with all available service packs, patches and updates from Microsoft Update see Outlook Updates for details.

  • Windows XP with Service Pack 2 or later or Windows Vista or Windows 7


Setup

Use the following steps to add a new Outlook profile to your computer.

Click Start, point to Settings, and then click Control Panel.

Find the Mail icon in Control Panel. Open the Mail (or Mail and Fax) icon. The following dialog will appear.


Click the Show Profiles button. The following dialog will appear. If you have more than one profile, they will show up in a list here. You're much less likely to have problems if you add a new profile, instead of modifying an existing profile. The names of the profiles on your computer will be different from the names shown here.  


Click the Add button to bring up the wizard. Type a name for the profile.

On the first page of the wizard, select Add a new e-mail account.  


On the second page of the wizard choose Microsoft Exchange Server. 


The Microsoft Exchange Server name to type here is MAIL.WEBVILLE.NET  

The server name shown here will change from mail.webville.net to something else when the system locates your mailbox and underlines both the server name and mailbox name. The option box to Use Cached Exchange Mode must be enabled.

Type only the first letter of your first name in the user name box here. You may be prompted for credentials. When prompted, type the full user@domain.com webville user logon name and password you've been assigned. It is important that your credentials are entered exactly as assigned. If the credentials dialog contains something else, seeming to suggest you should put the name of your laptop or your company's server in front of your user name here, don't be fooled. Remove everything else and enter only the user@domain.com logon you've been assigned by Webville.

Do not click the Check Name button. Click the More Settings button.

If you are behind a firewall, which is typical, your window will hang for a minute or so, while Outlook tries to connect to the server. It may return an error message to the effect that it could not connect to the server, as in the illustration. This is expected. Click OK.


After clicking OK to the error message, the following dialog will appear.


Click Cancel. The following dialog will appear. If it does not, click the More Settings button.

On the Security tab page seen below, place a check next to Encrypt data between Microsoft Office Outlook and Microsoft Exchange Server. Encryption is off by default in Outlook 2003 and must be turned on for connection to Exchange 2010.

Go to the Connection tab page. It should look like the illustration below.

Place a check next to Connect to my Exchange mailbox using HTTP. If you don't see that option, you need to install Service Pack 2 for Windows XP.

Click the Exchange Proxy Settings button. The following dialog will appear.


In the box labeled "Use this URL to connect to my proxy server for Exchange," type the following:

mail.webville.net
 

Both options, On fast networks... and On slow networks... must be checked. The box labeled Mutually authenticate the session... is optional.

Basic Authentication must be selected under Use this authentication...

Click OK on the Exchange proxy settings dialog.

Click OK at the Microsoft Exchange Server dialog. That should bring you back to the Email accounts window, as shown below.

The option to Use Cached Exchange Mode must be selected.

Click the check name button. You should get a credential prompt similar to the illustration below. When prompted, type the full user@domain.com webville user logon name and password you've been assigned. It is important that your credentials are entered exactly as assigned. If the credentials dialog contains something else, seeming to suggest you should put the name of your laptop or your company's server in front of your user name here, don't be fooled. Remove everything else and enter only the user@domain.com logon you've been assigned by Webville.


The username shown should now resolve to your mailbox display name, and become underlined. If the mailbox name you typed is less than complete, you may get a list of matching choices.


Click Next to see the congratulations window and click Finish to exit the wizard.

 


After you close the wizard by clicking Finish, you should find yourself back at this dialog box. If not, get back here by launching the Control Panel Mail or Mail and Fax icon.


Note the drop down list at the bottom of this dialog, just below where it says Always use this profile. Choose the new profile in the drop down list, so next time Outlook starts, it will start with the new profile. 

Click the Close button and you're ready to start Outlook with your new profile. 

You can have Outlook prompt you for the profile you want to use when it starts. See the illustration immediately above. Choose "Prompt for a profile to be used" if you want to choose a profile each time Outlook starts.
